About The Role
We are seeking a highly organised and detail-focused HR Admin Specialist to join our Personell Administration team based in Vizzola Ticino.
You will ensure the effective administrative management of the employee lifecycle, acting as a key point of contact for employees and line managers on HR administrative matters, while ensuring compliance with legal requirements and deadlines.
Key Responsibilities
- Manage attendance and absences, including reviewing and reconciling monthly timesheets and submitting payroll-related data to the external payroll provider.
- Prepare documentation related to the employee lifecycle (hiring, contract extensions, contract amendments, terminations) and handle mandatory communications with relevant authorities.
- Manage administrative processes related to sickness leave, maternity leave, workplace injuries, and other types of leave, ensuring all associated compliance requirements are met.
- Support onboarding and offboarding processes, including employment documentation, privacy compliance, medical examinations, and health & safety training.
- Provide support to employees on administrative and payroll matters, including payslip interpretation, personal and tax data changes, severance pay (TFR), and tax return assistance (Form 730).
- Review expense reports, meal vouchers, business travel expenses, and manage relationships with HR service providers.
- Maintain and ensure proper filing and updating of employee records, both digital and paper-based.
Requirements
- High school diploma or university degree, preferably with a specialization in Personnel Administration, Payroll, and Social Security Contributions.
- 2–5 years of experience in Personnel Administration roles.
- Good knowledge of labor law and major statutory requirements (CU, Form 770, INAIL, INPS).
- Proficiency in Microsoft Office, particularly Excel.
- Strong attention to detail, reliability, discretion, and ability to manage deadlines effectively.
- Good interpersonal and communication skills, with a collaborative team-oriented approach.
- Good command of the English language.
Pay range and benefits package
- Gross annual salary: from € 25.000 to €35.000
- Smart Working policy (max. 8 days per month)
- Meal vouchers 7€ per day
