The Project Coordinator supports the COO Office by managing documentation, meetings, action tracking, and reporting for global transformation initiatives across finance systems, IT, AI, and process optimization. The role ensures change projects remain organized, visible, and on schedule, while actively documenting operational processes, key decisions, project dependencies, and implementation actions.


Responsibilities:

  • Coordinate COO Office projects and workstreams across operating model design, process improvement, finance systems, IT tools, digital workflow, AI/e-signature initiatives and organisational change
  • Maintain project plans, action trackers, milestone registers, meeting schedules, RAID logs, decision logs, benefits trackers, responsibility matrices and implementation checklists
  • Support operating model projects by coordinating workshops and follow up actions relating to service delivery, process design, organisational design, sourcing, governance, systems and reporting requirements
  • Support Sun Accounts/SunSystems upgrade activity through meeting coordination, vendor follow up, testing schedules, training logistics, deployment checklists and issue tracking
  • Schedule meetings and workshops, prepare agendas, take minutes and follow up on actions, deadlines, decisions and dependencies
  • Coordinate input from Finance, IT, Operations, Compliance, vendors, business users and senior stakeholders
  • Support documentation for SOPs, operational guidelines, process notes, service standards, user guides, training material and project reports
  • Track vendor deliverables, security review actions, access control decisions, document requests and implementation dependencies
  • Assist with digital research, comparison tables, vendor information and materials for project decisions, business cases or scenario analysis
  • Support user readiness, training coordination, post go live feedback, issue resolution follow up and handover into day to day operations

Qualifications:
  • 5+ Years experience in project coordination, project administration, PMO support, operations support, executive support or similar role
  • Excellent organisation, follow up, scheduling, documentation and task management skills
  • Experience supporting operating model, process improvement, organisational change, software implementation, system upgrade, finance systems, IT deployment or vendor led technology projects advantageous
  • Comfortable coordinating with external vendors, IT teams, finance users, operational teams and senior stakeholders
  • Good working knowledge of Microsoft Word, Excel, PowerPoint, Teams, SharePoint and project tracking tools
  • Awareness of confidentiality, secure document handling, access control and technology project governance
  • Strong written English and ability to prepare accurate minutes, action logs, reports and project documents
