Job Summary

We are looking for a motivated and highly organised Project Coordinator to support the delivery of large-scale IT infrastructure and transformation programs. This role will work closely with the Program Manager, Architects, and technical delivery teams to help coordinate activities, track delivery progress, manage reporting, and drive follow-through across multiple workstreams.

This role would suit someone early in their project delivery career who is eager to learn, take ownership, and grow within a fast-paced technology environment. Attitude, initiative, and willingness to learn are far more important than formal qualifications.

What We’re Looking For

We are looking for someone who:

  • Has a positive, proactive attitude and enjoys being part of a high-performing team.
  • Is a self-starter who can pick up tasks quickly and run with them.
  • Takes ownership and follows through on actions without needing constant direction.
  • Is organised, reliable, and comfortable managing multiple priorities.
  • Wants to build a long-term career in project delivery, technology, or program management.
  • Communicates confidently with both technical and non-technical stakeholders.
  • Is adaptable and comfortable working in fast-moving environments.

Key Responsibilities

Project Coordination & Delivery Support

  • Support coordination of project activities, milestones, and deliverables across multiple workstreams.
  • Maintain project schedules, action registers, RAID logs, and delivery trackers.
  • Follow up on actions, dependencies, and outstanding items with delivery teams and stakeholders.
  • Assist with planning workshops, governance meetings, and project reviews.

Reporting & Documentation

  • Prepare meeting minutes, status updates, project reports, and presentation material.
  • Consolidate updates from technical teams for internal and customer reporting.
  • Maintain organised and accurate project documentation.

Stakeholder Coordination

  • Coordinate meetings, workshops, and communications across customer and internal teams.
  • Track decisions and actions and ensure follow-up items are completed.
  • Act as a central coordination point between technical teams, vendors, and stakeholders.

Governance & Administration

  • Support project governance, reporting cadence, and delivery processes.
  • Assist with risk, issue, dependency, and action tracking.
  • Help maintain visibility across project timelines, deliverables, and priorities.

Skills & Experience

Essential

  • Strong organisational and communication skills.
  • Ability to multitask and manage competing priorities.
  • Proactive mindset with strong attention to detail.
  • Confidence in engaging with stakeholders and following up on actions.
  • Comfortable using Microsoft Office tools including Excel, Word, and PowerPoint, bonus for Google suite.

Highly Regarded

  • Experience in project coordination, administration, PMO, or IT delivery environments.
  • Exposure to infrastructure, cloud, networking, or enterprise technology projects.
  • Familiarity with tools such as Jira and MS Project.
