This is a senior leadership role in our Luxembourg Transfer Agency team, reporting into the Head of Operations.
Luxembourg Transfer agency provides the full range of investor servicing functions including dealing, registration, settlements, distributions, commissions, query management and investor reporting. The role is balanced between operational execution and development, and execution of strategic direction of business function activities.
The department provides a third-party fund administration service to numerous leading fund management companies and fund domiciles. A broad range of product types is supported including, mutual, money market, semi liquid and hedge funds.

Principal Responsibilities
- Responsible for ensuring that TA meets its obligations to service clients in accordance with the fund documentation, administration agreement and SLA such that all KPIs are met or exceeded.
- Provides leadership and guidance to staff, fostering an environment which encourages ownership, excellence, employee engagement, teamwork, and communication
- Maintain a robust control environment resulting in successful Internal Audits and other client and regulatory due diligence exercises
- Ensure operating procedures are established and adhered to, enhancing current procedures to improve productivity and quality.
- Maximise scalability through the use of onshore and offshore locations and multi-functional model.
- Solid knowledge of the cross border distribution model and proven experience in managing a Dealing team
- Produce management reporting for monthly activities with particular focus on accuracy and timeliness in all locations and remedial programs where appropriate
- Human resource management and capacity planning
- Provide technical expertise for the development of new business relationships and develop procedures for the take on of new products and services.
- Develops and maintains specific subject expertise and advises businesses management, and relevant third parties.
- To work with internal product, transformation and client servicing teams to evaluate and implement changes in proposed new regulations and to ensure that all current requirements are met
- Manage client issues ensuring appropriate resolution, including regular liaison with clients, relationship managers and other operational managers to provide a seamless service.
- Liaising with clients regarding Service and Service Level Agreements
- Consult on effective ways to meet client needs or appropriate methods to be used for resolution of an error.
- Maintain relations with third parties - to include Client, internal relations with other departments and Auditors.
- Analyse monthly management information to understand where quality at an individual, process, team or management company needs to be addressed
- Comply with the regulatory regime in which Northern Trust operates as appropriate to the above role.
- Exercise due care and diligence, ensuring the areas the incumbent is responsible for are organised and controlled.
- Observe proper standards of market, business and personal conduct, demonstrating integrity in the execution of duties
- Ability to build and maintain relationships with all key stakeholders: Internal Stakeholders such as COO Leadership team, Asset Servicing Leadership , Relationship & Client Servicing Managers , Direct reports; External Clients, Advisors, Banking Partners, Auditors, Trustees and Compliance
