Job Summary The HR & Administration Coordinator will be responsible for a range of tasks, including HR administration, foreign worker legalization, visa processing, and business development with Polish companies. This role requires a proactive individual with a strong commercial mindset, excellent communication skills, and the ability to manage multiple priorities in a fast-paced environment.
Responsibilities HR & Administration
- Manage day-to-day HR administration tasks, including employee onboarding, contract management, and record-keeping.
- Provide support to employees regarding HR policies and procedures.
- Maintain accurate and up-to-date employee records.
Foreign Worker Legalization
- Coordinate the legalization process for foreign workers, including Temporary Residence Cards (TRC), work permits, and other necessary documentation.
- Ensure compliance with all relevant Polish and EU immigration laws.
- Stay updated on changes to immigration regulations.
Visa Processing
- Manage the visa application process for applicants from abroad, including booking appointments and preparing necessary documentation.
- Provide guidance and support to applicants throughout the visa process.
Business Development
- Proactively identify and develop relationships with potential Polish client companies.
- Present workforce solutions to prospective clients and negotiate contracts.
- Collaborate with employers to understand their staffing needs and provide tailored solutions.
- Contribute to the company’s commercial development.
Communication & Coordination
- Serve as a primary point of contact for employees and clients.
- Communicate effectively in both Polish and English, both verbally and in writing.
- Coordinate with internal departments and external partners to ensure smooth operations.
- Work closely with employers to fulfill staffing requirements.
Qualifications
- Proven experience in HR administration and/or recruitment.
- Experience with foreign worker legalization and visa processing in Poland.
- Strong understanding of Polish labor law and immigration regulations.
- Demonstrated sales or business development experience.
- Excellent communication skills in Polish and English (written and verbal).
- Proficiency in other European languages is a significant plus.
- Strong organizational and time management skills.
- Ability to work independently and as part of a team.
- Commercial mindset with a focus on achieving business goals.
- Ability to handle multiple tasks and meet deadlines.
