Job Summary The HR & Administration Coordinator will be responsible for a range of tasks, including HR administration, foreign worker legalization, visa processing, and business development with Polish companies. This role requires a proactive individual with a strong commercial mindset, excellent communication skills, and the ability to manage multiple priorities in a fast-paced environment.


Responsibilities HR & Administration

  • Manage day-to-day HR administration tasks, including employee onboarding, contract management, and record-keeping.
  • Provide support to employees regarding HR policies and procedures.
  • Maintain accurate and up-to-date employee records.

Foreign Worker Legalization

  • Coordinate the legalization process for foreign workers, including Temporary Residence Cards (TRC), work permits, and other necessary documentation.
  • Ensure compliance with all relevant Polish and EU immigration laws.
  • Stay updated on changes to immigration regulations.

Visa Processing

  • Manage the visa application process for applicants from abroad, including booking appointments and preparing necessary documentation.
  • Provide guidance and support to applicants throughout the visa process.

Business Development

  • Proactively identify and develop relationships with potential Polish client companies.
  • Present workforce solutions to prospective clients and negotiate contracts.
  • Collaborate with employers to understand their staffing needs and provide tailored solutions.
  • Contribute to the company’s commercial development.

Communication & Coordination

  • Serve as a primary point of contact for employees and clients.
  • Communicate effectively in both Polish and English, both verbally and in writing.
  • Coordinate with internal departments and external partners to ensure smooth operations.
  • Work closely with employers to fulfill staffing requirements.

Qualifications

  • Proven experience in HR administration and/or recruitment.
  • Experience with foreign worker legalization and visa processing in Poland.
  • Strong understanding of Polish labor law and immigration regulations.
  • Demonstrated sales or business development experience.
  • Excellent communication skills in Polish and English (written and verbal).
  • Proficiency in other European languages is a significant plus.
  • Strong organizational and time management skills.
  • Ability to work independently and as part of a team.
  • Commercial mindset with a focus on achieving business goals.
  • Ability to handle multiple tasks and meet deadlines.


Desired Skills

  • Experience working in the blue-collar workforce industry.
  • Knowledge of the Polish market and business landscape.
