Job Summary

The Specialist People Operations provides HR support for employees and managers in an assigned region, country, or function. The role focuses on delivering a positive employee experience by resolving queries effectively and managing key processes throughout the employee lifecycle—from hiring to termination (excluding recruitment activities). As part of the People administration team, the Specialist contributes to building a solid foundation for internal and external parties, maintaining strong communication and ensuring efficient processes. This role plays a crucial part in ensuring a smooth employee experience while supporting various HR functions.


Key Responsibilities


People Administration & Compliance

  • Administer a wide range of personnel policies, procedures, and document management to ensure they align with local employment laws and company guidelines.
  • Handle employee processing tasks such as contract and offer management, absence tracking and reporting, and employee data updates.
  • Ensure the HR system and tools are up-to-date and well-maintained.
  • Document and manage internal queries following standard operating procedures.
  • Coordinate actions related to work permit documents, personnel changes, payroll reports, and audits.
  • Provide clear explanations of regulations, policies, and procedures to employees and managers.
  • Respond to written and verbal inquiries to resolve issues and provide necessary information or escalate to appropriate personnel.
  • Conduct regular audits of data to ensure its integrity and perform troubleshooting tasks to address problems.


Employee Support & Collaboration

  • Coordinate regional or country-specific company events, such as health fairs or employee engagement initiatives (e.g., Ask.HR days).
  • Work with country-specific stakeholders, including advisory, payroll, and recruitment teams, to ensure seamless HR operations.
  • Support the onboarding process for new People Operations Specialists and stakeholders.
  • Contribute to the development and implementation of People initiatives, policies, and projects.
  • Ensure compliance with internal policies and regional-specific laws regarding employee administration.


Data Quality & Process Improvement

  • Maintain high-quality data and ensure the accuracy of employee records.
  • Identify opportunities for process optimization and modify existing procedures to address emerging challenges.
  • Ensure that service level agreements (SLAs) for new hires, payroll deadlines, and ticket responses are met.
  • Provide feedback and input for process improvements in collaboration with HR Centres of Expertise (CoEs).


Problem-Solving & Efficiency

  • Address problems that arise in HR systems or processes, investigate root causes, and implement corrective actions.
  • Use systems and collaborate with various stakeholders to meet employee needs and improve processes.


Qualifications


Education

  • Bachelor’s degree in Human Resources, Business Administration, or a related field.
  • A specialized diploma is also acceptable, particularly with relevant experience.


Experience

  • At least one year of experience in customer service, and HR.
  • Experience working with HR systems (preferably Workday) and tools like SAP, MS Office, and Google Suite.

Skills

  • Strong communication skills (both written and spoken), particularly in English.
  • Attention to detail, accuracy, and organizational skills.
  • Ability to multitask, prioritize, and work under pressure.
  • Analytical thinking, problem-solving abilities, and a customer-focused mindset.
  • Familiarity with local labor laws is preferred, but not required.
