Position Scope:

The successful candidate will provide comprehensive administrative and operational support to the Director, Human Resources and broader HR function. This role is responsible for maintaining employee records, coordinating HR processes, supporting recruitment and onboarding activities, ensuring compliance with employment legislation, and delivering exceptional service to employees and business leaders. The successful candidate will play a key role in supporting day-to-day HR operations while contributing to HR projects and initiatives across the organization.


This role will report to the Director, Human Resources and is a hybrid position requiring in-office attendance between two (2) offices in Toronto for a minimum of three (3) days per week.


Core Responsibilities & Duties:

HR Administration & Employee Support

  • Maintain and update HRIS and employee records, ensuring data accuracy and confidentiality.
  • Prepare and manage HR documentation, including employment contracts, offer letters, salary increase letters, employment verification letters, and other employee correspondence.
  • Administer employee benefits programs, including new hire enrollments, benefit changes, terminations, and maintaining accurate benefit records.
  • Provide first-level support to employees regarding benefits, policies, payroll inquiries, and general HR-related questions.
  • Support payroll processing through accurate collection, validation, and submission of employee data.
  • Assist with employee relations matters and resolve routine employee issues in a timely and professional manner.


Onboarding

  • Coordinate and facilitate onboarding and orientation programs for new employees.
  • Maintain onboarding documentation and ensure a positive new hire experience.


HR Operations & Compliance

  • Process employee lifecycle transactions, including hires, promotions, transfers, and terminations.
  • Manage corporate expense reporting and company credit card administration.
  • Ensure compliance with employment standards, labour legislation, company policies, and HR best practices.
  • Support compliance reporting requirements, including government and regulatory submissions (e.g., statistics reporting, pay equity reporting, etc.).


HR Programs & Projects

  • Assist with performance management processes, including annual review cycles and related administration.
  • Support HR metrics tracking, reporting, and data analysis.
  • Participate in HR projects and initiatives such as AI integration, compensation reviews, organizational planning, and process improvements.
  • Coordinate employee engagement activities, training sessions, town halls, and internal events.
  • Assist with award submissions, customer requests, and other organizational initiatives as required.


Organizational Support

  • Update organizational charts and maintain workforce information.
  • Generate reports and provide HR data and insights to finance, leadership teams, and business unit stakeholders.
  • Support special projects and other duties as assigned by the Director, Human Resources.


Qualifications:

  • Bachelor’s degree in Human Resources, Business Administration, or a related field.
  • 2–4 years of experience in an HR coordination, HR administration, or HR generalist support role.
  • Experience working with HRIS systems and Microsoft Office applications.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to manage multiple priorities and maintain confidentiality.
  • Excellent interpersonal, critical thinking, analytical, communication, time management, organizational and customer service skills.
  • Knowledge of employment legislation and HR best practices.
  • Experience supporting payroll, recruitment, and employee relations is considered an asset.
