Job Summary:
The HR Assistant will be primarily responsible for the efficient and accurate management of employee leave requests and records, serving as the core function of this role. This position will also provide essential support in the preparation of payroll and associated documentation. The ideal candidate will be highly organized, meticulous, and possess a strong understanding of HR processes and data management.
Key Responsibility:
- Receive and process leave requests manually from various Business Units (BUs), ensuring all required information and approvals are obtained.
- Perform bulk uploading of leave entries into the HR system, maintaining accuracy and adherence to company policies.
- Conduct thorough cross-checking of all leave entries to identify and rectify any discrepancies or errors.
- Update employee records with leave resumption dates promptly and accurately.
- Generate and distribute regular leave eligibility reports to relevant stakeholders.
- Conduct detailed analysis of leave entitlements, identifying potential issues or areas for improvement.
- Respond to employee queries regarding leave balances, policies, and procedures.
- Assist in the preparation of monthly payroll by gathering and verifying necessary data, including attendance, leave, and any deductions/additions.
- Prepare and organize supporting documents for payroll processing, such as timesheets, leave forms, and other relevant records.
- Assist with other HR administrative tasks as assigned by the Line Manager.
- Maintain confidentiality of all sensitive employee information.
Required Criteria:
- Bachelor's degree in human resources or a related field.
- Minimum 2 Years experience in an HR administrative role, with a strong focus on leave management and/or payroll support
- Proficiency in HRIS/HRM systems (experience with bulk data uploading is highly preferred).
- Excellent command of Microsoft Office Suite, particularly Excel (for data analysis and reporting)
- HRIS/HRM Systems.
